How do I create invoices?


It is important to ensure that children's information is up to date before creating invoices including any timetable changes coming up in the future that you know about.

1.     Go to the "Accounts Processing" screen either by selecting it from your "Favourties" menu or go to the "Billing" link in the menu bar and click on "Accounts Processing"

 

2.     Select the category of children you will be invoicing, normally "Current enrolments"

 

3.     Select the date you wish to invoice up to - this must be a Friday, Saturday or Sunday

 

4.     Ensure the "Invoices" radio button is selected and highlighted in red

 

5.     Click "Create all"

 

A message will display asking you to confirm that you want to create these invoices, click the "OK" button to continue

 

 

Once all of the invoices have been calculated, the system will return you to the "Accounts Processing" screen with the invoices created listed under "Uncommited items" to check before committing the invoices

 

6.     Click on "View" in the "Uncommitted items" section to review the invoices

 

 

A list of all of the child who have had invoices created will be displayed together with the amounts they will be invoiced for.  Amounts are calculated based on the period of time being invoiced and information in the child's timetable and/or sign in sheets.

 

You should carefully check each invoice to ensure it is correct.

 

 

6.     If any of the amounts do not look correct, you can check to see how they were calculated by clicking "Modify" beside the amount and then "Explain Fees"

 

 

 

If any of the amounts are incorrect, click "Previous" and "Delete all"

 

Correct what caused any of the invoices to be incorrect for example sign in sheets, timetables etc. and then begin the invoicing procedure again

 

7.     When all of the invoices are correct, scroll to the bottom of the screen and click "Commit"; or click "Previous" and then "Commit all"
